We're seeking an exceptional AI Safety Operations Contractor to serve as the operational backbone of our organization. This role combines executive assistant duties with strategic operations work, supporting our leadership team and research initiatives in the critical field of AI safety.

Apart Research is a research lab founded in 2022 with 22 influential academic papers, an influential position in AI career and research development, and strong international representation. Our research has been used by Anthropic, OpenAI Superalignment, and national security labs, received awards at major ML conferences, and contributed to international AI governance work.

Core Responsibilities

• Executive & Administrative Support:

  • Handle routine operational requests including infrastructure access and reimbursements

  • Provide comprehensive support to leadership team (email management, scheduling, expense approvals)

  • Manage databases and maintain organizational systems

• Event & Program Management:

  • Coordinate events, retreats, and organizational gatherings

  • Administer various programs and initiatives

  • Support distributed team coordination and communication

• Process Improvement:

  • Identify and implement operational efficiencies

  • Streamline workflows and administrative processes

  • Contribute to organizational growth and scaling

Required Qualifications

• Exceptional organizational skills with proven ability to manage multiple priorities

• Experience supporting distributed/remote teams across different time zones

• Strong written communication skills with attention to detail

• Quick learner with ability to rapidly master new tools and platforms

• Proficiency or willingness to learn: Notion, Discord, Google Suite, Zapier, and other operational tools

Preferred Experience

• Event coordination and logistics management

• Ongoing support with budgeting, bookkeeping, payments, and financial controls

• Familiarity with AI Safety research or technical fields

• Program management experience

• Identifying efficiency gains and compliance improvements.

• Process automation and workflow optimization

Structure & Flexibility
