Good Impressions is a nonprofit that offers digital communications services to high-impact organizations working to address the world’s most pressing problems—like biosecurity, AI safety, farm animal welfare, and extreme poverty. Demand for our services is growing fast, and we are looking for an Operations Manager to help us stay organized, efficient, and effective as we grow our organization and our impact. This role is full time and fully remote (however candidates in Toronto, Canada are preferred), with a compensation range of $95,000 - $115,000 CAD annually; based on experience.

Mission

The mission of the Operations Manager is to build and maintain the systems, processes, and infrastructure that enable Good Impressions to scale effectively. By managing everything from hiring to finance to AI tools integration, you'll create the operational backbone that allows our project managers to focus exclusively on client work and for leadership to concentrate on strategy. Your work directly translates to increased organizational capacity and improved decision-making, ultimately leading to many more nonprofits getting the marketing support they need. 

Responsibilities

Team Enablement Systems

  • Project & File Organization: Ensure our Google Drive, task management software, and client projects are squeaky clean to allow our team to focus on client work. 

  • SOPs: Document our processes meticulously, clearly, and ensure they are always up to date. Ensure our team is trained on them and they are being implemented.

  • AI tools: AI tools represent an incredible opportunity to make us more effective and efficient as a team. It’ll be your job to stay on top of new capabilities and use cases and facilitate their integration. 

  • Support Project Managers: Partner with Project Managers to handle the operational logistics required to launch projects, including contracting, documentation, and invoicing.

Resourcing Operations

  • Project Tracking System: Audit and overhaul our PTS to give us crystal clear metrics on team utilization, completed projects, resource management, client satisfaction, operational efficiency, and more.

  • Operational Heartbeat: Setup KPI tracking across the org, design a tracking system; and perform monthly, quarterly, and annual reviews against our goals using the data from the systems you’ve built. Provide recommended actions to the team that will help us increase our impact and work in a calm and organized manner. Implement or take inspiration for a best-practice system such as Rockefeller Habits, EOS, or Metronome Effect.

Back Office Operations

  • Legal Admin: Contracts, Corporate Reports, and recordkeeping.

  • Grant tracking: Track our spend against our various grants so we know we’re generating commensurate impact and when to apply for more..

  • Vendor Management: Including selection, finding cost efficiencies, managing licenses.

  • IT Administration: Google workspace, team laptops, password management, software seats, info-sec, etc.

  • Day-to-Day Finance: Administer accounts payable, accounts receivable, payroll, banking, expense tracking and reimbursements. 

  • Financial Compliance & Recordkeeping: Own internal financial recordkeeping and liaise with external bookkeeper and accounting firm on tax compliance.

HR & Culture

  • HR Administration: Handle documentation and contracts. Setup and administer a benefits plan. Setup and run an HRIS system. 

  • People Systems: Design a compensation system. Design a quarterly & annual review cadence.

  • Onboarding & Offboarding: Own and evolve onboarding programs to ensure smooth integration of new hires into our team, tools, and culture. Ensure access to all necessary tools, subscriptions, and systems for every team member. Lead thoughtful and supportive offboarding experiences—including clear messaging, culture-driven communication, and exit interviews.

  • Culture: Champion our team culture with kindness, transparency, and honesty at the core. Champion culture initiatives that reinforce Good Impressions’ core values and continuous growth.

  • Offsite: Plan and manage the agency’s yearly team offsite—from logistics and vendor coordination to scheduling and communication.

  • Recruiting & Hiring: Lead recruitment efforts for both contractors and full-time employees.

About You

  1. Experience: You have direct experience handling at least 75% of the responsibilities listed above at a digital agency with 10-100 team members within the last 3 years.

    • Supported Daniel Kokotajlo in the promotion of AI 2027, an important piece of AI safety communications that was eventually read by the Vice President of the United States

    • Secured ~1,200 registrants and established the largest growth channel for a course demonstrated by Randomized Control Trial to decrease infant mortality

    • Increased Epoch AI’s Twitter followers by ~3.4x among users who work at top AI labs, governmental bodies, major media outlets, and think tanks, which Epoch says "could have a significant impact on our ability to achieve our goals as an organization"

Good Impressions’ Hiring Process

Here’s what to expect if you progress through the process:

  1. Application Assessment: We aim to respond to everyone’s applications within a couple weeks.

  2. Intro Call: 30 Minutes to get to know the hiring manager and see if there is a basic fit.

  3. Deeper Interview: 90 Minute resume review with two members of our team.

  4. Assignment: Hands on work sample so we can see your skills applied to the role. Detailed instructions are provided and you get to choose a timeline that fits what’s going on in your life.

  5. Reference Checks: We’ll ask you to intro us to 2-3 people you’ve worked with before for quick phone/video conversations. We’ll ask them what it was like to work with you.

  6. Verbal Offer: We’ll give you a call to let you know there’s a spot on our team for you, answer any questions and talk through any concerns you have; then align on particulars like final compensation structure, start date, etc.

  7. Written Offer: We’ll send you an employment offer letter to review and sign.
