Rethink Wellbeing has helped over 300 participants improve their mental wellbeing through evidence-based online programs. We're scaling psychological interventions that work โ using engaging, low-cost methods to unlock lasting behavior change. As our Program Operations Assistant, you'll be the operational backbone, ensuring our programs run seamlessly. You'll use automation and AI tools to directly enable us to reach more people.
You'll work closely with our Program Lead and Operations Lead to ensure our mental wellbeing programs deliver exceptional experiences for both participants and facilitators. This role combines hands-on program coordination with process automation and improvement โ perfect for someone who thrives on both detail-oriented tasks and strategic thinking.
About the Role

Location: Fully Remote (global applications welcome)
Hours: 15-25 hours per week (potential to increase weekly hours after ~3 months)
Compensation: $16-$22/hour (based on experience and location)
Contract Type: Freelance/contractor position up to December 2025 with potential for extension
Tasks & Responsibilities
The Program Operations Assistant will play a key role in delivering an excellent experience for participants and facilitators, nurturing Rethink Wellbeingโs wider community, and ensuring programs run smoothly and efficiently.
Create and manage detailed program plans for new cohorts
Maintain and improve scalable operational systems, using automation and generative AI to streamline core processes
Ongoing communications and support for our program participants and with our wider community, including integrating LLM assistants where appropriate
Identifying and delivering opportunities to improve key program performance indicators and/or efficiency
Coordinate facilitator recruitment, including scheduling interviews and managing application pipelines
Match participants into peer groups and guide them through onboarding
Manage program logistics, including deposits, payments, and refunds
Monitor program evaluations and participant feedback to identify improvement opportunities
Update program materials, tools, and resources with guidance from the Program Lead
Support outreach efforts through social media, email campaigns, and community partnerships
Contribute to organizational planning and priority-setting discussions
What We're Looking For
Essential Qualifications
Comfortable with global remote work and asynchronous communication
Excellent English proficiency: Native or near-native level for clear communication with the team and our community
Interest in improving operations by implementing generative AI
Comfortable leveraging digital tools and able to quickly learn new platforms
Outcome-focused approach: Ability to plan and execute work based on results rather than just completing tasks
Strong time management and initiative to prioritize tasks, meet deadlines, and manage competing priorities
Attention to detail: Accuracy in completing tasks and catching important details
Adaptable and positive: Flexible mindset and willingness to take on varied responsibilities
Ideal Candidate Profile (2+ of these preferred):
Operations or project coordination experience
Experience with automation tools and generative AI
Experience with Google Workspace, Airtable, and Asana or similar project management tools
Strong empathy and interpersonal skills, and the ability to adapt communication style to different audiences
Background or strong interest in mental health or psychology, community building, or Effective Altruism
Previous experience in startups or mission-driven organizations
