You will play a key role in establishing and optimizing the operations of our foundation. You will develop and implement effective processes for grant administration from our pooled funds, and for client’s grantmaking. Additionally, you will develop, optimize, and implement systems to improve internal processes and manage projects across a range of workflows. Your contribution will enhance our internal processes and services, increasing our ability to serve a range of clients and the impact of our entire organization.
Key Responsibilities:
Development Coordination: Develop, optimize, and implement systems to improve and expand our outreach and engagement with new potential clients and clients under advisement. Project manage potential client research, outreach, communications, and onboarding to advisory services.
Project Management: Develop systems and support executive leadership with project management of outreach, advisory, research, and foundation projects.
Operations & Finance Direction and Management: Oversee operational tasks including our HR operations, financial tracking, management, and reporting, information systems development, and internal process improvements to ensure efficiency, impact, and risk management.
Foundation setup, management, compliance, and administration: Coordinate the establishment of Ark Philanthropy’s 501(c)(3) foundation and pooled funds. Create processes for grant administration and reporting, and manage grant administration.
Additional Potential Responsibilities:
Executive Administration: support CEO in managing calendar and scheduling, external communications, and meeting preparation
Partnership Building: Identify, evaluate, and decide between potential partners and service providers to work with and maintain and manage relationships with key partners and other stakeholders to advance our mission and build long-term alliances.
Client Support: Provide advisory services to clients on foundation creation and organizational best practices. Conduct grant due diligence for clients under advisement.
Staff Management: Manage staff. Potentially recruit, manage, and mentor a cohort of interns and fellows, ensuring they contribute meaningfully to the organization’s goals.
Business Development & Fundraising: Lead efforts to secure funding for our pooled funds, bring in new advisory clients, and grow our clientele through strategic business development initiatives.
Client Experience: Manage and/or execute client-facing projects including in-person and online events and producing client-facing deliverables (grant portfolio, etc).
Qualifications:
Demonstrated experience of foundation operations, grant administration, and financial management.
Have a track record of managing complex projects with a high attention to detail.
Self-starter comfortable with a high level of autonomous decision-making and demonstrated experience leading projects.
Experience choosing and optimizing systems for efficiency, including client relationship management (CRM), project management, and financial management systems.
Ability to manage multiple projects simultaneously and prioritize tasks effectively.
Excellent communication and interpersonal skills: able to build relationships with diverse stakeholders while navigating complex discussions and maintaining confidentiality.
Strategic and conscientious problem-solver, proactively addressing issues before they escalate.
Management experience is a plus.
